When guests complete registration at the front desk, their information is entered into the system, and their assigned room’s equipment automatically transitions to a ready state. Room systems begin self-adjusting to create an immediate welcoming atmosphere:

  • Air conditioning operation: Fans adjust to high speed, rapidly bringing the room to a pre-determined comfortable temperature

2.1.2 Guest Guidance

After registration, guests know their floor and room number. Upon entering the elevator, it stops at their designated floor. As guests exit the elevator, their RFID key card is detected by installed equipment, and this information transmits via wired network to the backend system. The backend then activates corridor directional indicators accordingly. When guests see a row of illuminated indicators pointing in a specific direction, they simply follow the light path to their room .

2.1.3 During Guest Stay

When guests enter their room and insert the hotel IC card into the power-saving key box, the room’s intelligent centralized control system activates operational mode with the following default states :

  • Room power outlets: All controlled outlets receive power, including television and air conditioning connections

  • Lighting: All lights in the guest living space illuminate, creating an impressive welcoming effect

  • Air conditioning: After achieving comfortable temperatures through high-speed operation, fans automatically switch to low-speed mode, providing a quiet environment. Guests can then adjust settings according to personal preferences

2.1.4 Guest Check-Out

When guests complete check-out at the front desk, control of room equipment automatically reverts to the central front desk system. After guest departure, the front desk automatically issues reset commands, restoring all room equipment to original states (according to management requirements). Housekeeping staff need not manually reset lighting and air conditioning after cleaning—improving efficiency and enabling unified management .

2.2 Meeting Sign-In System

The RFID meeting sign-in system manages attendee registration, seat guidance, welcome messaging, and guest counting. Readers are installed in discreet locations that meeting participants must pass through .

2.2.1 Guest Information Processing

This function handles guest information queries, additions, modifications, saving, and deletion. It also supports importing or exporting customer data in Excel format for flexible database management .

2.2.2 Welcome Messages

An LED display installed at meeting room entrances shows personalized welcome messages when participants enter. The reader captures card information, and the display shows the attendee’s name, seat number, and other relevant details .

Based on welcome message information, attendees receive accurate guidance to their designated seats, ensuring proper seating arrangements .

RFID-collected data enables timely and accurate statistics on total participants, late arrivals, and absentees—providing organizers with real-time attendance insights .

2.3 Elevator Safety System

The RFID elevator control system implements card-controlled security management functions, providing robust technical support for hotel security. It restricts unauthorized personnel flow, effectively preventing non-guests from accessing guest floors and enhancing guest safety perceptions .

Based on hotel requirements, reading equipment is installed in elevators, with various parameters downloaded to the elevator controller via management software. When users swipe their card, the reader senses the card, reads all relevant data, and verifies validity (expiration date, permissions, blacklist status). If legitimate, the elevator proceeds to the user’s authorized floor; otherwise, the elevator remains inoperative .

2.4 Guest Consumption System

Guest consumption within hotels can be categorized into two approaches: pre-deposit cash consumption and identity authentication consumption .

Pre-deposit cash consumption requires guests to pay a certain amount in advance at check-in. Staff record this amount in a designated area of the room card. During their stay, guests can make purchases (goods, dining, transportation) within this limit by swiping their room card. However, this approach has become increasingly complex given the prevalence of various bank cards—people are accustomed to card-based consumption and rarely carry large cash amounts. Pre-deposit systems require PMS integration with UnionPay settlement, increasing software complexity and consumption verification responsibilities. Consequently, pre-deposit models are now mostly limited to long-term corporate clients .

Identity authentication consumption simply confirms guest identity for small or complimentary services. High-credit or VIP guests can charge services after identity confirmation, with unified settlement at check-out. This consumption model represents the current mainstream trend in hotel operations .

2.5 Vehicle Access Control System

The intelligent parking management system integrates computer management technology, automatic control, Ethernet real-time communication, image recognition, and smart card technology. By reading card information through entry/exit readers, the system determines vehicle identity, validity periods, payment status, etc. It manages vehicle access, automatic data storage, image comparison, and other functions—ensuring on-site vehicle security while providing real-time visibility into parking dynamics. This enables accurate, efficient dynamic management with flexible inquiries and robust security functions, while simplifying procedures for temporary parking vehicles .

  3. Both hotel and laundry client servers connect to a central data center server, enabling complete visibility throughout the textile lifecycle .
